Managing your deletion schedules

Keeping your schedules correct as the business changes. They run whether or not they still match the policy.

Review them

  1. Open Admin Center, then Account, then Security, then Deletion schedules.
  2. Read each one: what it covers, at what age, and when it last ran.
  3. Check each still matches the agreed policy.
  4. Adjust or disable what no longer fits.

Review annually

Policies change, obligations change, and the business changes. A schedule set two years ago is still running to a decision nobody has revisited.

Put it in the same review as your access check.

Watch what has changed around them

A new brand, a new ticket form, a new custom object. Each may fall inside an existing schedule that was not written with it in mind, or outside one that should cover it.

Disable rather than delete

A schedule paused for a reason can be resumed. Deleting it means rebuilding, and the rebuilt version will not have the conditions somebody added carefully.

Record the reasoning

Why this period, who agreed it, and when. The schedule shows what happens; only a note explains why, and that is what an auditor or a successor needs.

Check what actually ran

A schedule that has not run in months is either not matching anything or not working. Both are worth knowing, and a glance at the last run date tells you which.

One owner

Somebody responsible for these, by name. Retention configured by whoever happened to be there is retention nobody will notice going wrong.
