What is on an agent's profile, and which parts customers actually see.
Edit one
- Open the team member in Admin Center.
- Edit the name, alias, signature, photo and languages.
- Save.
- Look at a reply from them to see the customer's view.
What customers see
The name or alias, the photo, and the signature. Everything else is internal.
That short list is worth knowing, because it is the part that represents your company in every reply.
Signatures deserve a standard
Agreed once, applied to everybody. Fifteen agents writing their own produces fifteen different impressions of the company, and at least one with a personal quotation in it.
Photos are optional and useful
A real photograph makes an exchange feel like a person. Where agents prefer not to, a consistent company image is better than a blank silhouette for some and photographs for others.
Set languages properly
Language on the profile drives routing and, in some setups, which macros and content are offered. Left unset, somebody who speaks three languages appears to speak one.
Keep names consistent
Decide whether it is first name only, or first and last. It shows on every ticket, and a mixture looks like nobody is in charge of it.
Review after a rebrand
Signatures carry old company names, old links and old strap lines for years. This is where they hide.
