Setting management permissions for articles

Management permissions decide who may edit and publish, separately from who may read. Two settings people confuse.

Set them

  1. Open the management permissions in Knowledge.
  2. Create a permission group, or open an existing one.
  3. Choose who is in it and what they may do: edit, publish, or manage everything.
  4. Apply the group to articles or sections.

Two different questions

Visibility is who may read an article. Management permission is who may change it. An article can be visible to everybody and editable by three people, which is the normal arrangement.

Mixing them up produces the two classic mistakes: an internal article everybody can read, and a public article anybody can rewrite.

Separate editing from publishing

Where accuracy matters, let more people write and fewer people publish. Contributors add what they know; a reviewer decides what goes live.

That is one setting away and it is the difference between a knowledge base people contribute to and one only two people touch.

Group by subject, not by department

The people who should edit the billing articles are the people who know billing, which is rarely the same as an org chart box. Permission groups built on subjects survive reorganisations.

Check what a contributor actually sees

Ask somebody in the group to open an article and try. Reading a permission screen tells you what you configured; watching somebody work tells you what you achieved.
