Sharing a dashboard with colleagues

Giving colleagues access, and the fact that sharing shows everything on the dashboard to everyone who opens it.

Share it

  1. Open the dashboard.
  2. Share it with people or groups.
  3. Choose whether they may view or edit.
  4. Tell them it exists and what it is for.

Sharing does not filter

Everybody with access sees every report on it, including groups and brands they do not work with. Permissions control who opens the dashboard, not what they see once inside.

Where teams should see only their own figures, build separate dashboards.

View, not edit

Almost always. Edit access means somebody can change a report used elsewhere, usually without realising it is shared.

Individual performance needs a decision

A dashboard naming agents and their numbers changes behaviour once people know it is visible. Whether it should be shared with the team, only with managers, or not built at all is a management question rather than a configuration one.

Tell people what it is for

A dashboard shared without explanation gets opened once. One sentence saying what decision it supports, and how often it is worth looking at, is what makes it used.

Review who has access

People change roles and leave. A dashboard shared with a group is easier to keep correct than one shared with fifteen named individuals.

Consider a schedule instead

Where the audience is managers who look monthly, an emailed dashboard reaches them without them having to remember. Sharing and scheduling solve different problems.
