Exporting reports and tabs

Plan requirement

Getting a report or a whole tab out as a file, and choosing the format for what happens next.

Export it

  1. Open the report or the dashboard tab.
  2. Choose to export.
  3. Pick the format.
  4. Wait for it to be prepared, then download.

Pick the format by what happens next

  • Image or document, for a slide or a meeting. Looks like the dashboard.
  • Spreadsheet, for further analysis. The numbers, without the layout.

Exporting a spreadsheet for a slide, or an image for analysis, is the usual mistake and it costs a second round trip.

The filters travel with it

An export reflects the filters set when you exported. Somebody receiving it cannot see what those were, so put them in the filename or say so in the message.

Say the period in the filename

"Support-weekly-2026-08-18" rather than "export". These files get forwarded and stored, and a number without its period is a number that will be misquoted.

Check the row count

Exports are capped. A large report truncates, and the file looks complete. Compare against what the report showed on screen.

Consider a schedule instead

If you export the same thing every week, schedule the dashboard. It arrives without anybody remembering, and there is no version somebody exported with the wrong filter.

Think about what is in it

Customer names, agent figures, ticket detail. Once exported it is on somebody's machine, outside the access controls that governed it a moment earlier.
