A dashboard that arrives by email gets read by people who would never open Explore. That is most of your audience.
Schedule it
- Open the dashboard.
- Create a delivery schedule.
- Set the recipients, the frequency and the time.
- Send yourself the first one and read it as they will.
Send it when it will be read
Monday morning for a weekly, the first working day for a monthly. A report arriving on Friday evening is read on Monday, by which time it competes with everything else.
Match the frequency to the decisions
Weekly if somebody acts weekly. Monthly for trends. A daily report that nobody acts on daily becomes a filtered email within a fortnight.
Complete periods only
A monthly sent on the first, covering last month. A weekly on Monday, covering last week. Reports covering partial periods look like a decline every time, and somebody will ask about it every time.
Say what it is in the subject
Including the period. "Support weekly, week of 18 August" is filed and found later; "Explore dashboard" is deleted.
Check what the email looks like
Send it to yourself first. Dashboards render differently in email, and a layout that works on screen can arrive as an unreadable strip.
It contains the data
Once sent, the numbers are in an inbox, forwardable, outside Zendesk. Where the dashboard names customers or agents, that matters, and the recipient list deserves the same care as any other distribution.
Review the recipients
Twice a year. Scheduled reports outlive the people they were set up for, and they keep sending.
