Invoices go out on two fixed days a month, arrive by email, and need the reference quoted when you pay.
Two moments a month
Invoices are sent on or just after the 7th and the 21st. Two fixed moments rather than one per order, so you get a handful of invoices a month instead of a stream of them.
An invoice can cover the period just gone, a period ahead, or a project settlement, so the date it arrives does not tell you which period it is for. The rows do.
Occasionally something falls outside those two days for administrative reasons. That is the exception rather than a second system.
How they arrive
By email, as a PDF with a UBL file alongside it. UBL is the machine-readable version, so if your bookkeeping software can read it you can process the invoice without typing anything over.
If your organisation takes invoices in over an e-invoicing network instead, ask us and we can deliver them that way.
Paying
- Bank transfer for everything.
- iDEAL on some invoices for Dutch customers, which is the fastest route because it settles immediately.
- The card on file for Zendesk Apps Marketplace subscriptions, which cannot be paid any other way.
Always quote the reference
Put the full invoice reference in the payment description. It looks like CX-2026-1001 or COM-2026-2001.
A payment without it arrives as an amount nobody can match to an invoice, and the invoice stays open until somebody works it out by hand. That is the single most common reason a paid invoice gets a reminder.
Check before you pay again
Payments other than iDEAL are not processed the moment they arrive, so an invoice can still look open for a short while after you have paid it. Check the overview before paying a second time.
Which account to pay into
The one on the invoice, and check it each time rather than reusing a saved payee. The entity at the top right of the invoice decides where it goes, and it is not always the same one.
Paying from outside the Netherlands needs one extra instruction to your bank: set the charge option to OUR, so the full amount reaches us. On the other options the bank charges come off the payment and the invoice stays partly open for the difference.
