Use real-time transcription during calls and meetings

Plan requirement

See the conversation as text while it is happening, so nothing is missed and nobody scribbles notes instead of listening.

Where it helps

  • Noisy environments or a poor connection, where a word or two gets lost
  • Accents and second languages, where reading confirms what you heard
  • Detailed conversations with figures, references or addresses
  • Accessibility, for colleagues who are deaf or hard of hearing

That last one is not a side benefit. For some colleagues it is the difference between taking part in a call and not.

What works where

The two products differ, and the difference matters if you are promising this to a team.

  • x-bees. Real time on both calls and conferences.
  • Collaboration 7. Real time on conferences only. For an ordinary call the transcript is produced after the conversation ends and arrives by email.

So a Collaboration 7 user who expects to read along during a one-to-one call will not get it. That is the product, not a fault.

Tell people

Transcription is processing what people say. Customers must be told, and in most countries that is a legal requirement rather than a courtesy. The obligation is yours.

Live text is not a verbatim record. Names, numbers and technical terms are where it goes wrong, and those are exactly the parts people are tempted to copy straight into a quotation. Confirm anything that matters out loud.

It uses your included hours

Real-time transcription draws on the same pool of AI units as voice agents and post-call transcription, at company level. It is also the expensive mode: an AI unit buys an hour of real time against two hours of post-call. A day of transcribed meetings makes a noticeable dent, and going past your allowance is chargeable.

Afterwards

The transcript stays with the conversation, which is what makes summaries and search work later. A call that was not transcribed leaves the AI Assistant nothing to work from.
