Letting agents edit shared blocks spreads the work and spreads the risk. How to get the first without the second.

Give access

  1. Open the management permissions in Knowledge.
  2. Set who may edit content blocks.
  3. Assign that to the agents who should have it.
  4. Tell them what changed, and what a block is.

The risk, stated plainly

A block appears in every article that uses it. An agent editing one to suit the article in front of them changes forty other articles they never opened.

That is not carelessness; it is what happens when somebody edits shared text without knowing it is shared.

So say it in the block

Name blocks so their scope is obvious, and keep the list short enough that anybody with access can read it in a minute. Somebody who can see that a block is called "Support hours, all products" will hesitate before rewording it for one article.

Who should have it

The people who maintain the content the block describes. If opening hours change, the person who knows first should be able to correct them without waiting for an admin.

That is the whole benefit: fewer stale paragraphs because fixing one is not somebody else's job.

Review the blocks, not the articles

With several editors, the useful check is the block list itself. Read through it quarterly: wrong text is visible there in a way it is not when scattered across articles.
