Using content tags to group related articles

Plan requirement

Subscription Suite Growth or higher, Knowledge Professional or higher
Access Agent, Admin

Content tags group articles and community posts across sections, and they need Suite Growth or higher with Knowledge Professional or higher. The thing to know before choosing between tags and labels: content tags are not searchable and do not boost search relevance.

Tag an article

  1. Open the article and click Edit article.
  2. Click the Article settings icon to expand the panel.
  3. Expand the Placement card and scroll to Content tags.
  4. Type a name, then select Add as new tag or pick an existing one.
  5. Click Update settings.

There is no bulk route: content tags cannot be added in bulk, so a back catalogue is tagged one article at a time. Check this before you plan to tag several hundred.

How they differ from labels

Labels Improve search relevance and are used as search keywords. Largely invisible to readers.
Content tags Not searchable and no effect on search relevance. Visible as clickable links in the Related to section at the foot of an article or post.

So labels can be generous and slightly messy, because nobody reads them. Content tags cannot: each one is a link a reader can follow, and following it opens a page of everything carrying that tag.

The practical consequence is that adding a content tag does nothing at all for findability through search. If that was the intention, you wanted a label.

Twenty-five is the ceiling, five to seven is the advice

You can put up to 25 content tags on an article or post. Zendesk's own recommendation is five to seven, and that gap is deliberate: past a handful, the tags stop describing the article and start describing everything the article mentions.

Reuse before you create

The list is shared, and picking from it takes one keystroke more than typing a new one. That keystroke is the difference between a working set of tags and forty near-duplicates. If you already have the duplicates, they can be merged from the content tag management page rather than retagged by hand.

Tag the subject, not the state

"Billing" and "Installation" are subjects a reader might browse. "Reviewed", "Draft" and "Q3" are internal states, and a reader who lands on a page called Q3 learns nothing.

Brand behaviour differs by plan

On Growth and Professional, tagged articles appear only within their own brand. On Enterprise, with multibrand search enabled, a reader can see tagged articles across several help centres. Check this before you plan a tag to span brands, because on the lower plans it will not.
