Four things drive a Zendesk bill up more than the plan level does, and three of them are avoidable with attention.

Seats nobody released

The most common and the easiest to fix. People leave, projects end, and their seats stay. Check your seat count against your actual team before every renewal, not after.

Light agents that quietly became agents

A light agent granted the ability to reply to customers is counted as a paid seat. This happens one helpful exception at a time and shows up as a bill nobody can explain. Zendesk provides a way to find them; run it periodically.

Add-ons bought for everyone and used by few

Add-ons are per agent, whether that agent uses them or not. At EUR 50 per agent per month, an add-on that three people out of twenty use is an expensive habit. Before renewing one, look at whether usage is reportable and what it says.

Usage-based lines

Voice minutes, and automated resolutions from AI agents, grow with what you do rather than with your team. They are not a problem, but they are the lines that move on their own, and they belong on a dashboard rather than in an annual surprise.

The one that is not avoidable

Growth. More agents cost more, and that is the model working as intended. What is worth watching is the ratio: if your seat count rises faster than your volume, the answer is usually in how work is routed rather than in your subscription.
