Google Workspace and Google Calendar are two separate integrations. Here is what each one does and how to switch it on.
Two integrations, not one
This is the thing that causes most of the confusion. Google Workspace and Google Calendar are separate integrations, switched on separately, and they do different jobs. If you set up one and expected the other's features, nothing is broken.
Google Workspace: contacts and events
What it gives you:
- Search your Google contacts from x-bees or Collaboration 7
- Create and edit Google contacts without leaving the conversation
- See the current and next event with a contact on the Info frame
Only one event shows there, the current or the next one, however many are scheduled. View all opens Google Calendar for the rest.
- In WMS, go to Settings > PBX > Integrations > Cloud integrations.
- In the Apps section, click Google Workspace.
- Click Create Integration.
Then each person activates it
Installing it on the PBX does not connect anybody's account. Each person goes to Settings > Integrations in x-bees or Collaboration 7, finds Google Workspace, clicks Activate, signs in with their Google account, and ticks Select all so contacts and calendar access are both granted.
Skip that last tick and the integration installs but stays half empty, which looks like a fault and is not.
Google Calendar: presence and the meeting scheduler
A different integration, and the one behind two features people ask for by name: presence that follows the diary, so a meeting sets the status automatically, and the meeting scheduler, where a customer picks a free slot from a colleague's calendar.
It lives in the same place, but in the Connectors section rather than Apps: click Google Calendar, then Install.
Two steps follow, and the first is where installations stall. You perform domain-wide delegation in the Google admin console: copy the Client ID and Scopes shown on the Google Calendar page in WMS, open the domain-wide delegation page in your Google admin console, click Add new, paste both in and click AUTHORIZE. Then enter an administrator email with Google Workspace access and your organisation's primary domain, and click Install.
You need admin rights on the PBX and in the Google admin console for this. Ask us if you have one and not the other.
Public events show their title. By default the calendar event's status message appears in a colleague's presence. Turn off Display status message for public events if you would rather people saw only that someone is busy.
Calendar accuracy matters
The scheduler offers whatever your calendar says is free. Keep focus time and travel in your diary or customers will book over it.
