Schedule and run meetings

Plan requirement

Subscription x-bees Basic or higher, x-bees Standard or higher (calendar scheduling)

Schedule a meeting from x-bees or from your calendar, and let people outside your company join without an account.

Schedule from x-bees

  1. Open the conversation the meeting belongs to.
  2. Create the meeting there. Everyone in that conversation gets it, and it keeps the context of what you were already discussing.
  3. Open the calendar from the meeting to put it in the participants' diaries.

Schedule from your calendar

  1. Connect your Google or Microsoft 365 calendar. This needs x-bees Standard or higher.
  2. Create the event in your calendar as you normally would, and add the x-bees meeting to it.
  3. Send the invitation. The joining link travels with it, and the event links back to the conversation.

Guests joining

People outside your company join in the browser. No account, no install, no subscription. They can also be added to the conversation afterwards so the follow-up stays in one place.

During the meeting

  • Share your whole screen or a single window. One window is usually the better choice.
  • Record the session. Tell participants first.
  • Add someone mid-meeting without restarting.

Transcription and summaries

On x-bees Standard and higher, meetings can be transcribed and summarised automatically. You switch it on per conversation under Edit conversation, where you also choose the language it transcribes in. Ten hours are included at company level, not per person, and they are shared with the AI voice agents.

Go over them and the AI+Data Boost bundle is added automatically and charged the month after: nothing stops at the limit. What happens if we exceed the included AI hours has the detail, and it is worth reading before you make transcription the default for every meeting.

Check your microphone and camera before the meeting rather than in the first minute of it. Chrome remembers the last device you used, which is often the wrong one after you have been in a meeting room.
