The thirteen things a programmable key can be, what each one actually does, and which of them only work on a desk phone.
One feature, three names
The same keys are called different things depending on where you are looking, which makes searching for them harder than it should be.
| Favorites | In Collaboration 7, x-bees and x-hoppers, where you arrange them yourself. |
| Function keys, Fn keys | In WMS, under Preferences on the user, where an administrator sets them. |
| Fn keys | On the desk phone itself, and on an expansion module. |
They are one list. A key you add in Collaboration 7 appears on your desk phone, because the keys belong to your account and not to the handset.
What each type does
| Type | What it does | Where |
| Colleagues | Watch one person: free, ringing or on a call. Press to call them, or press while they ring to answer for them. | |
| Call group | Watch a queue. A blinking light means a waiting call you can take. Press to call the group. | |
| Park Location | Park the call you are on, and press again to pick it back up. | |
| Speed Dial | Dial a number, an extension, or a feature code. The one people set up most. | |
| Group pick up | Answer any ringing phone within your ACL group. | |
| Send DTMF | Send one or more keypad tones, for getting through a phone menu or entering a PIN. | |
| Time Table, Switch, 3-state Switch | See and change the state of a switch, so you can close early or open a holiday line from your phone. | |
| Trunk | Only where physical lines are connected to the cloud PBX. Ask us if you think you need it. | |
| Line | Switch between several calls at once and see their state. | Desk phone only |
| Contact center | Sign in and out of your call groups from the phone itself. | Desk phone only |
| Identities | Switch between the identities linked to your account. | Desk phone only |
| Empty key | A deliberate gap, to group the others into blocks you can find without reading. | Desk phone only |
| Exp module | Marks where the expansion module starts. Everything after it lands on the module. | Desk phone only |
Three options that keep coming back
Colleagues, Call group and Park Location keys each offer the same three extras, and they are worth setting deliberately.
- View calls shows who is calling before you decide to take it. Without it you are answering blind.
- Audio notification plays a short beep. Useful for one key, unbearable across ten.
- Direct transfer makes the key transfer straight through instead of announcing. Right for a switchboard, wrong for a colleague who needs context.
One interaction to know about
The Group pick up key stops working if you have asked us to switch on call group pickup, because the two do the same job in different ways. If the key does nothing, that is the likely reason.
