Send your calls to a colleague, your mobile or voicemail, and set different rules for different situations.
Four situations, four rules
Forwarding is not one setting. You can decide separately what happens when you:
- Do not answer. The common one. Usually voicemail or a colleague.
- Are already on a call. Sending these to voicemail avoids a second caller waiting.
- Are unavailable. Your device is off or offline.
- Forward everything. All calls go elsewhere immediately.
Set it up
- Open Settings.
- Go to the forwarding rules.
- Set a destination per situation.
Forwarding to a colleague's voicemail
Sometimes you want the message rather than the interruption for them. Forwarding directly to a colleague's voicemail sends the caller to their mailbox without ringing their phone. Useful when someone is on leave and their deputy is already busy.
Check your rules before going on leave, and again when you come back. A rule pointing at a colleague who has since left the company is the most common way a caller reaches nobody at all, and nothing warns you about it.
Forwarding to a mobile
Works, and consider whether you want it. Calls forwarded to a mobile lose the context Collaboration 7 gives you: no name lookup, no call history, no easy transfer. The mobile app is usually the better answer.
Team calls are different
Forwarding applies to your own extension. Calls to a call group follow the group's own rules, so forwarding your extension does not take you out of the queue. For that, change your presence or your call group membership.
