Record a greeting, decide when callers reach voicemail, and get your messages by email so you never miss one.
Record your greeting
- Open Settings and go to the voicemail section.
- Record a greeting, or upload one you prepared.
- Save.
Keep it short. Your name, that you will call back, and an alternative for anything urgent. Callers who wanted to speak to you are not listening carefully to a long message.
Decide when callers reach it
Voicemail can pick up when you do not answer, when you are already on a call, or when your status is Do Not Disturb. Set these separately, because they are different situations. Someone calling while you are mid-conversation should probably not wait through a full ring cycle first.
Get messages by email
Have voicemail sent to your inbox as an audio file. It is the difference between hearing a message the same hour and finding it two days later.
On UC-Premium you can also have the message transcribed, so you can read what someone said without playing the audio. Useful in an open office or a meeting.
Voicemail transcription draws on your company's AI units, and it always runs in the live mode, so it costs an hour of allowance per hour of audio. Worth knowing if you switch it on for a whole team.
Update your greeting when you are away for more than a day. A message saying you will call back today, recorded three weeks ago, is worse than no greeting at all.
Listening to messages
Messages appear in Collaboration 7 and can be played in the browser. You can also reach voicemail from a desk phone if you prefer.
Your PIN
Checking voicemail from a phone needs a PIN. You can change it from the handset if you do not remember setting one.
When someone else should hear it
For a shared number or a team, name a missed calls manager on the call group, so voicemail belongs to a person rather than to everyone.
