Connect your Microsoft 365 calendar

Your administrator switches the integration on; you choose which calendars are used and when you are bookable.

Set up your calendars

There is no sign-in step for you. Once your administrator has activated the Google Calendar or Microsoft 365 integration, your calendars are simply there, and what is left is to say how you want to be booked.

  1. Click your user picture, top left, to open Settings.
  2. Click Kite settings, then the Calendar Settings tab.
  3. Pick the calendars that booked meetings are added to, and the calendars that are checked for available slots. These are two separate choices, and they do not have to be the same calendar.
  4. Check the timezone, set the meeting lengths you offer (fifteen minutes at the shortest, six hours at the longest) and any 15 or 30 minute break before or after.
  5. Set your working days and hours, and a Minimum notice before booking so nobody books you for twenty minutes from now.
  6. Click Save.

Using a Microsoft calendar, your working hours come from Outlook rather than from here, lunch break included.

On Google Calendar, accept the invitation. A booked meeting is added to your calendar automatically, but until you click Yes the slot still counts as free and somebody else can book it, which produces a double booking. The same confirmation decides your presence: on Google an unconfirmed event leaves your status untouched, so colleagues see you as available while you sit in it. A private event does switch your status, but without the subject or the duration.

What people get from you

Your scheduling link sits on the Calendar button under your profile details. Copy link gives you the address to share, and Schedule event books a slot yourself on someone's behalf. You can narrow a link to a date range by adding ?start=dd.mm.yyyy&end=dd.mm.yyyy&subject=meeting%20subject, which is useful for a campaign or an event week.

Somebody booking you can go twelve months ahead at most, and can hold at most ten meetings with you that have not happened yet. Each booking creates a conversation and emails you both, with a reminder before the meeting.

Things that catch people out

  • The guest's calendar is their own problem. The event is added to your calendar, not theirs; they have to add it from the email.
  • Calendars you added inside Outlook are not synced, the ones under Add personal calendars or Add from directory. They will not appear in the list.
  • A newly created calendar appears the next day. The sync runs at night, though a rename comes through sooner.
  • Booked conversations are public by default, reachable by anyone with the link.
  • Scheduling with a group is not possible, only with an individual.

Your calendar becomes your availability

Anything your calendar says is free can be booked. Focus time, travel and lunch need to be in the diary as busy, or a customer will book straight over them.

And choose the calendar you live in. Pointing this at a secondary calendar you rarely update produces confident, wrong availability, which is worse than none.

If the option is missing

Kite settings needs x-bees Standard or higher; on Basic the section is not there. With Microsoft 365, you also need an Outlook and mailbox licence, and your primary email address has to match the one in WMS, because that is what the sync matches on. Ask us if it does not.
