Changing a property across many articles at once: section, visibility, labels. Powerful, and there is no undo.
Update in bulk
- In Knowledge, open Manage articles and filter, search or browse to what you want to change.
- Select the articles. Thirty at a time is the maximum.
- Choose the action from the bulk actions menu and apply it.
What it can change
Properties rather than content: comments open or closed, archived or restored, deleted, the author, the labels, the user permissions, the owner, the assignment, the review and approval state, verification, and publishing or scheduling.
Several of those are Enterprise only, and labels and user permissions are not on Team. Two things it cannot do: edit the text, and move articles into another section.
Where it saves an afternoon
- A visibility change across a whole set.
- Adding a label to everything about one product.
- Reassigning when somebody leaves.
- Verifying a batch that you have just read through.
Check the filter twice
The whole risk is here. A filter slightly wider than you meant applies the change to articles you did not intend, and there is no undo.
Read the count before applying. If you expected thirty and it says ninety, stop. The thirty-article ceiling helps here: a change that needs four rounds gives you three chances to notice.
Visibility is the dangerous one. A bulk change making articles public reaches search engines within a day. Do that change on a handful first and check the result before applying it broadly.
