Adding seats, and the check worth doing first because it often makes the purchase unnecessary: a few usually sit empty.
Add them
- Open Admin Center, then Account, then Billing, then Subscription, and look at the top of the page.
- No Manage button means a managed account, which is what you have if you buy Zendesk through us. Tell us how many seats you need and we add them; the rest of this page still tells you what to check first.
- With a Manage button: increase the number of seats and confirm.
- Assign the new seats to people.
Check for unused seats first
Look at the agent list sorted by last sign-in. Most accounts have at least one seat held by somebody who left or moved on, and deactivating frees it immediately.
This check takes two minutes and quite often removes the need to buy anything.
Not everybody needs an agent seat
Somebody who only needs to read reports may manage with a role that does not consume a seat, depending on your plan. Somebody who only receives notifications does not need an account at all.
Worth asking what the person will do before assuming a full seat.
Light and contributor roles
Colleagues who only read and comment internally do not take an agent seat, and your plan includes a quantity of them: 50 on Suite Growth, 100 on Professional, 1000 on Enterprise and 5000 on Enterprise Plus. That covers a surprising share of "can we get them access" requests without buying anything.
Only the Support role is free. Give the same person a role in another Zendesk product and they take a paid seat after all, which is how seat counts rise without anybody being added to Support.
Adding mid-term
Seats added during a term are billed for the remainder, so the timing affects what it costs. Adding a batch at renewal is usually tidier than adding one at a time.
Removing is harder than adding
Reducing seats generally waits for renewal. That asymmetry is a reason not to over-provision "just in case".
