Settings: personal details and password

Your details, your password and your audio devices. The audio part is what causes most first-week problems.

Audio devices

Set your microphone and speaker explicitly. Your browser picks a default that is frequently the laptop's built-in microphone even when a headset is plugged in, and the result is a call where you sound distant and everyone else sounds fine to you.

  1. Open Settings from your profile.
  2. Select your headset as both microphone and speaker.
  3. Use the test if there is one, or call a colleague.

Repeat this after changing headset, docking station or meeting room. The browser remembers the last device, not the right one.

Microphone permission

Your browser asks once. If you dismissed it, calls arrive and nobody hears you. Check the permission in your browser's site settings, and grant it for your Collaboration address.

Notification sounds

Open Settings from your profile picture and go to Conversations. You can set a different sound per status, or turn the sound off entirely while you are busy.

Silencing yourself only while busy is the setting most people want and few people find. It stops notifications interrupting a call without leaving you deaf to them for the rest of the day.

Your details

Name, photo and contact details appear to colleagues. A photo sounds trivial and genuinely helps people recognise who is calling in a larger company.

Password

The same password signs you in to Collaboration 7 and to a desk phone. Voicemail uses a separate PIN, which is a regular source of confusion.

Forwarding

Decide what happens when you do not answer: voicemail, a colleague, or your mobile. You can set different rules for different situations, such as busy versus unavailable.

Check your forwarding before going on leave. A rule set up years ago pointing at someone who has left the company is the most common version of a caller reaching nobody.
